Enrolment Information

ADAQ Training courses are suitable for people looking to progress their career and expand their skills and knowledge. Recognition of Prior Learning (RPL) and Credit Transfer (CT) are available. Students are able to complete some stand-alone units of study and should contact the ADAQ Training team to discuss further. You must be currently working in a dental practice a minimum of 12 hours per week to enrol in ADAQ Training Dental Assisting courses. Full details of each qualification including delivery, duration, costs, course structure and other relevant requirements can be found here .  

Language, literacy and numeracy support

To successfully complete ADAQ Training courses all students are required to have a working knowledge of the English language and the ability to clearly communicate ideas, processes and reasoning. Payment of fees, refunds, and cancellation

Financial difficulty

Students experiencing financial difficulties and who are unable to make fee payment, are encouraged to contact the ADAQ Training team for a confidential discussion regarding their situation. ADAQ Training will endeavour to support students in financial distress where possible. Students who are unable to make scheduled payments will be withdrawn from the course.


Refunds
If the student decided not to proceed with the course, a partial refund will only be provided if ADAQ Training receives written notification of cancellation from the student within seven (7) days of course access being granted (and the course has not commenced).   The refund given will consist of the total fee paid less the administration fee of $220 to cover the costs incurred by ADAQ.  

Other than as stated above, no refund will be given for change of mind or a student’s failure to participate or engage in their studies after the commencement of study. A refund of fees on a pro-rata basis may be granted where a student suffers an illness, injury or other exceptional circumstances preventing completion of study. This will be subject to approval by the RTO Manager and requires the student to formally submit a written refund request and supply supporting documentation.  

Where ADAQ Training cancels all or part of any course, participants will be provided a full refund or alternative placement in a future course (as nominated by the student) if desired.  


Protection of fees
As required under the Standards for Registered Training Organisations 2015, ADAQ Training protects students’ fees paid in advance by an unconditional financial guarantee from a bank operating in Australia.

Marketing and advertising

ADAQ Training abides by all legislative responsibilities regarding the advertising and marketing of ADAQ Training services. ADAQ Training is responsible for ensuring that transparent, relevant and accurate information regarding ADAQ Training services and performance is accessible to all prospective and current learners. Information about ADAQ Training services and performance will enable prospective and current learners and clients to make informed decisions regarding their training and/or assessment needs. ADAQ Training may provide information to the learner through one or more channels, including the ADAQ Training enrolment form and ADAQ Training website.

Learning resources

ADAQ Training courses are delivered online (with the exception of the Radiography workshops) and students will require access to reliable internet connection, a PC or laptop and mobile phone/recording device to successfully complete their studies. There is no provision for offline learning or hardcopy materials. ADAQ Training course material is delivered online via the Canvas Learning Management platform. Upon ADAQ Training processing a student enrolment, students will receive a Canvas account and access to the full course learning materials. Students should carefully read through the qualification schedule provided in their Canvas account. This schedule provides a guide to the order and timeframes in which units should be completed. Following this schedule will ensure students complete their course within the specified course duration.

Course durations

Course durations are clearly outlined in the course information provided on the ADAQ website and will also be reinforced at time of enrolment. Students who do not complete their studies within the specified timeframe will be required to pay an administration fee for an extension on their enrolment period. Where a student fails to complete their studies within six (6) months of their expected completion date, ADAQ Training will withdraw the student’s enrolment and the student will be required to re-enrol, and pay a re-enrolment fee, should they wish to complete the course.

Deferral of studies

Students who have commenced study but wish to suspend their study for a period of time may apply to defer their studies. ADAQ Training will consider written requests from students to defer study. The maximum period a student may defer their studies is 12 months. Where a student has not recommenced study after the expiry of the deferral period an administration fee to reactivate their learning will apply. Typical circumstances where deferral may be granted include:


  • Maternity leave.
  • Loss of employment.
  • Illness or injury

In the event the qualification or unit/s that the student was enrolled in is superseded over the course of the student’s deferral period, the student will be required to enrol into the new qualification and pay the enrolment fee.

 

Recognition Process

ADAQ Training recognises prior learning and qualifications achieved through formal education and training (credit transfer), and learning achieved outside the formal education and training system. We encourage you to discuss your prior learning with us for guidance on the application and to determine the type of enrolment to complete.

Recognition of Prior Learning (RPL)

It is the role of the trainer to decide whether the evidence supplied is sufficient to provide a competent grade in the competencies that have been applied for. The criteria the trainer will use is:


  • Authenticity– The trainer must be assured of the authenticity of the material supplied. In other words, it must belong to you.
  • Performance criteria – All performance criteria contained in each unit or element of competency must be met.
  • Relevance and currency – The skills and knowledge shown must be up-to-date and relevant to the unit.
  • Theoretical knowledge and practice – The applicant must show an understanding of the theory underpinning the competency and the nature of this theory in practice.
  • Sufficiency of evidence – The evidence must be of sufficient quantity and quality to prove competency.


Your RPL application will be assessed and you will be notified in writing as to the success of your application within one month of lodgement. Any appeal should be lodged immediately and within one month of issue of recognition notification.

RPL for superseded units of competency

If you wish to enrol in the HLT45021 Certificate IV in Dental Assisting, you must have completed one of the following Certificate III in Dental Assisting qualifications:


  • HLT35021 Certificate III in Dental Assisting
  • HLT35015 Certificate III in Dental Assisting
  • HLT31812 Certificate III in Dental Assisting

However, if you completed an earlier Certificate III in Dental Assisting you may be eligible for recognition of prior learning for some units to assist you in gaining the HLT35021 Certificate III in Dental Assisting. Superseded qualifications for which this may be applicable include:


  • HLT31807 Certificate III in Dental Assisting
  • HLT31802 Certificate III in Dental Assisting

RPL will be assessed on the Currency, Authenticity, Sufficiency and Validity of evidence provided to demonstrate the students’ knowledge and skills.  Students who gain RPL for units of competencies will still be required to complete some assessments and proof of currency to be eligible to complete the applicable units. 

If you have completed either the HLT31807 or HLT31802 and with to enrol as an RPL student in the HLT35021 Certificate IV in Dental Assisting qualification complete the enrolment form and select the RPL option. As part of your application, you will be asked to provide a copy of your certificate. In providing your certificate you will be consenting to have your certification authorised either via ADAQ accessing your USI transcript directly or by ADAQ contacting the RTO you completed your qualification with directly. Credit Transfer

Credit transfer means the advanced standing obtained from any RTO or prior arrangements between institutions or organisations on the credit value of specific courses or units of competency. Credit transfer is an administrative process and involves prior arrangements. ADAQ Training recognises qualifications from other RTO providers and will ensure credit transfer is provided for persons holding relevant units.

Learner Obligations

ADAQ Training is committed to ensuring all students are supported to full course completion and encourage them to achieve their best throughout their studies. However, students are responsible for their own study and learning and ensuring they complete all course requirements and units of study within the expected timeframe.  

Student code of conduct

ADAQ Training students are required to abide by the student code of contact at all times, within all environments and across all interactions. This includes, but is not limited to:


  • Face to face interaction with ADAQ Training and within a student’s place of work
  • Online learning including all interactions in Canvas
  • Email and phone communications
  • Workplace assessments and onsite visits by ADAQ Training trainers
  • Training workshops.

All ADAQ Training students have a responsibility to:


  • Follow all ADAQ Training policies and guidelines
  • Abide by all expectations of all relevant government regulatory bodies in vocational education, WH&S and equal opportunity legislation
  • Approach their study with diligence and enthusiasm
  • Follow the policies, procedures and guidelines that relate to their place of work
  • Complete all assessment tasks in the specified time frame as required in the course
  • Treat all staff and other students with fairness, dignity and respect
  • Make known to ADAQ Training any special requirements at the commencement of study, or as soon as the student identifies a need, that they may need in order to assist them in their study so that appropriate support can be provided
  • Once support requirements have been identified, students have the responsibility to accept and utilise this support
  • All students must demonstrate an acceptable standard of behaviour in all interactions with fellow students, trainers and any other ADAQ staff
  • Discrimination, bullying and harassment in any form will not be tolerated
  • Obscene, offensive or threatening language in any form will not be tolerated
  • Students must always act honestly and with integrity. Cheating, plagiarism, fraudulent or misleading behaviour (or any other form of dishonest behaviour) will not be tolerated.

Where ADAQ Training staff identify unacceptable behaviour whether online, face to face while undertaking workplace visits or assessments, they retain the right to address concerns with the student. Where a student continues to display behaviour that does not conform to ADAQ Training’s acceptable standards of behaviour, ADAQ Training reserves the right to remove access to coursework. Where an employer has a financial interest in the student enrolment (whether through full or partial contribution to course fees) ADAQ Training may be in contact with the employer directly to report on the student behaviour issues and discuss action to be taken.

Breaches of the student code of conduct

Where ADAQ Training staff identify or become aware of minor breaches of the student code of conduct, the student will receive a written warning. The written warning will outline the unacceptable behaviour and remind the student of ADAQ Training’s student code of conduct and their responsibility to abide by this at all times, and request the student rectifies their behaviour immediately. Significant breaches, or repeated breaches of the Student Code of Conduct despite warnings and the reasonable opportunity to rectify unacceptable behaviour, may result in termination of enrolment. Where enrolment is terminated for breach of Student Code of Conduct students may not be eligible for any course fee refund.

Assessment, Practices and Methods

ADAQ Training is committed to providing flexible delivery and assessment to meet the needs of individual students. ADAQ Training provides students guidance and mentoring as well as assistance to train in a workplace environment. ADAQ Training caters for differences in learning styles by using a variety of delivery and assessment methods such as demonstration, role play, observation, problem solving, self-paced learning and self-assessment.

Assessment support, marking and resubmits

Assessments are an integral part of the learning process and allow ADAQ Training trainers to ensure students meet unit competencies.


Assessments methods include quizzes, written assessment, video assessments, short answer questions and workplace observation. ADAQ Training trainers are there to support you through all assessment requirements. All assessment is submitted via Canvas and students will receive notification when assessments have been graded. Students will be given an opportunity to resubmit assessments if required following trainer feedback.


Submission of Assessments

All assessments, with the exception of workplace assessments and workshops, are completed and uploaded (where applicable) in our learning management system. File uploads will not be accepted via email or any other channel.


Failure to Progress

ADAQ Training students are expected to show commitment to their study and to progress through units of study in a way that ensures they can complete their course in the required timeframe. Students are provided a qualification schedule at the commencement of study, which provides a suggested path of study and general timeframes for unit completion. Adhering to this schedule will see students successfully complete their course within the required timeframe of study. It is your responsibility to meet the progression requirements for your course with ADAQ Training.

This means you are required to:


  • Submit and undertake all assessment to ensure timely completion of units of study.
  • Ensure required workplace assessments are scheduled and completed so that competency can be awarded.
  • Complete all requirements for the course within the prescribed course duration.

If you are having difficulties in managing satisfactory academic progression, it is your responsibility to be proactive and discuss the matter with your trainer who will work with you to make a plan that allows you to successfully complete your studies. ADAQ Training monitors academic progression of each student. If you are identified as making unsatisfactory academic progression, your trainer will contact you to discuss your progression and your options to improve your performance.

Students are identified as being at risk of unsatisfactory academic progression where there is:


  • Failure to submit assessment tasks
  • Unsuccessful completion of assessment tasks
  • A high rate of assessment resubmission
  • Failure to participate in online learning
  • Non-attendance at required workshops
  • Failure to schedule and complete workplace assessments.

Where a student continues to demonstrate unsuccessful academic progression, ADAQ Training will introduce more formal intervention strategies, which may include:


  • A formal meeting between ADAQ Training, you and other relevant stakeholders (parents/guardians if under 18 years of age, employers, school etc.) to discuss intervention strategies and study plans that may need to be put in place.
  • A plan detailing how progression will be managed going forward including a clear outline of goals and deadlines to be achieved to ensure continued progression is satisfactory

Note that under legislation and funding agreements, ADAQ Training will also be obligated to report academic progression issues to your parents/guardians (if you are under 18 years of age), your school (if you are enrolled in secondary school), your employer (if you are an apprentice or trainee), and apprentice organisation if applicable. Where a student continues to make unsatisfactory academic progression despite formal intervention strategies and the development of a study plan, ADAQ Training will withdraw the student from the course. No refunds will be given.


Plagiarism and referencing

Plagiarism is taking someone else’s work and/or ideas and presenting them as your own, with or without their consent. Plagiarism is unethical and means a student has not meaningfully participated in, and completed, the proper learning process. It is a form of cheating and ADAQ Training takes instances of plagiarism seriously. The following are examples of plagiarism:


  • Copying another student’s assessment.
  • Purchasing an assessment from another person or paying someone else to complete assessments on your behalf and presenting them as your own work.
  • Copying sections of text and not including the correct acknowledgment of where the information was sourced.
  • Combining multiple ‘sections’ of text from various sources to form an assessment response without referencing each.
  • Unintentionally failing to acknowledge work, information and ideas that are presented as your own.

If you are unsure of referencing protocols or how you may need to use referencing in your course, please reach out to your trainer who can advise you on ADAQ Training’s expectations and requirements.

Course completion and certification documents

ADAQ Training will issue a statement of attainment for all units successfully completed. Upon successful completion of a whole qualification ADAQ Training will issue a qualification certificate in line with national policy requirements for issuing AQF qualifications. The certificate will include a transcript of results for all the units contained in the qualification. Where a student has outstanding fees and/or has not provided a valid USI, no qualification will be issued until full course fees have been paid and a valid USI provided to ADAQ Training. All statements of attainment and qualification certificates are issued digitally. If you require a hardcopy, a fee will apply to cover administration and postage costs.

Complaints and Appeals

ADAQ Training is committed to delivering the highest level of student services. This commitment includes ensuring we provide a fair and transparent complaints and appeals process. ADAQ Training acknowledges problems may arise and as soon as it becomes evident a problem exists, ADAQ Training expects that a student will bring the complaint or concern to the attention of the ADAQ Training Manager in order for ADAQ Training to address and rectify the issue in a timely manner.

Where a student lodges a complaint or request, ADAQ Training provides the following commitment:

  • At every stage of the complaint and appeals process, all persons involved will be treated with courtesy and respect.
  • No stakeholder (student, parent or guardian, employer, practice staff, ADAQ member or non-member) will be disadvantaged in any way in their dealings with ADAQ or ADAQ Training.
  • ADAQ Training will acknowledge and support students with a legitimate complaint in relation to any aspect of the activities of ADAQ Training.
  • ADAQ Training will take action in response to all complaints and resolution sought.
  • ADAQ Training affords students the right to appeal against the results of any assessment undertaken throughout the course if they consider that it is incorrect or unfair.
  • The ADAQ CEO will act on the outcome of any subject of a complaint found to be substantiated.

Complaints procedure

Minor issues should be raised with your trainer as they arise, and the issue will be dealt with immediately. Where the issue is unable to be dealt with immediately between trainer and student, the trainer will refer the issue to the ADAQ Training Manager. Students are encouraged to speak to the ADAQ Training Manager if a satisfactory outcome is not reached in discussion with the trainer. The ADAQ Training Manager may liaise with trainers to explore the issue further and advise on another course of action. A student may nominate an independent person to accompany them at any stage of the complaints process.

Students are asked to put all major complaints in writing via post or email and should be marked Attn: ADAQ Training Manager:

On receipt of the complaint the ADAQ Training Manager will work to the following procedure.

All formal (written) complaints will be discussed with the ADAQ CEO (where the complaint concerns either the ADAQ Training Manager or the ADAQ CEO, then the student can take the complaint directly to the President of ADAQ as per the contact information below).


  1. ADAQ Training will provide the student a written acknowledgment via email within five (5) working days.
  2. Within ten (10) working days of receiving the complaint, the ADAQ Training Manager in consultation with the ADAQ CEO will investigate the complaint, including interviewing all relevant parties, if necessary. The ADAQ Training Manager and the ADAQ CEO will then make recommendations regarding the complaint. The student will be notified in writing of the outcome of the complaint and reasons for any decision made.
  3. Where a student is not satisfied with the outcome of the complaint, they can contact the President of ADAQ to discuss the matter further. An appointment can be made for this by telephoning the ADAQ Office on 07 3252 9866.
  4. If a student has undertaken all of the steps above and still wishes to obtain further advice, then they may wish to contact the relevant statutory body including the Queensland Human Rights Commission (QHRC), Office of Fair Trading, Australian Skills Quality Authority (ASQA) or seek independent legal advice.

 

Appeals procedure (results and assessment)

Where a student wishes to appeal against the result/s of any of their formal assessments, they must do so in writing and include all relevant details and supporting evidence to the ADAQ Training Manager. Appeals must be submitted as soon as possible and no later than two (2) weeks after the student receives notification of their results.

In the first instance, minor issues regarding exercises and tasks should be raised with the trainer concerned as they arise. Where the issue is unable to be dealt with immediately between trainer and student, the trainer will refer the issue to the ADAQ Training Manager. At this point:


  • Students are encouraged to speak directly to the ADAQ Training Manager who will strive to reach a satisfactory outcome.
  • The ADAQ Training Manager will liaise with the trainer to explore the issue further and advise on another course of action.

Formal appeal

Formal appeals and complaints must be submitted in writing Attn: ADAQ Training Manager, via:

  4. Any student who is not satisfied with the outcome of the appeal can contact the President of ADAQ to discuss the matter further. An appointment can be made for this by telephoning the ADAQ Office on 07 3252 9866 or seek advice from the relevant statutory authority.
 

Government and Legislative Framework

ADAQ Training operates within the following legislation:

Work health and safety in the learning environment

Radiation Health – Radiography students only.  Students undertaking studies in Dental Radiography will be subject to the following legislation. Radiation Health is responsible for the administration of:


  • Radiation Safety Act 1999
  • Radiation Safety Regulations 2010
  • Radiation Safety Standards

Radiation safety standards cover standards for radiation sources (health care related) and standards for premises at which radiation sources are used to carry out a radiation practice. The Radiation Regulations 2010 cover requirements for disposal of certain apparatus or containers, radiation safety & protection plans for certain radiation practices, radiation practices involving the carrying out of a diagnostic therapeutic or cosmetic procedure involving the irradiation of a person, radiation monitoring, radiation dose limits, requirements to use licenses.

Confidentiality and privacy

ADAQ Training complies with the Federal Privacy Act (1988) and the Australian Privacy Principles as outlined in the ADAQ Privacy Policy.
